Vice President, Hospitality and Events (Tentative)

Description: In cooperation with the NFL and Host Committee Volunteer Leadership, provide vision, planning, management and execution of the following areas and committees:
  1. Super Bowl Village Committee, including Village geographical area, daily programming, structures, scheduling and staffing.
  2. Super Bowl Saturday Night, assisting NFL with concert plan and execution.
  3. NFL Experience Committee, including Indiana Convention Center layout and functional plan.
  4. Social Venue Management and Event Sanctioning, including venue inventory, contracts, assignments and event execution.
  5. Community and Event décor, including liaison between NFL and Host Committee on City-wide and Regional Decor plan.
  6. Official NFL Events Committee, including Tailgate Party for 10,000 people, NFL On-Location Hospitality Program, NFL Familiarization Trip, NFL Friday Night Party, and NFL Concert Series.
  7. Super Bowl Host Committee Events Committee, as needed.
  8. NFL/VIP Guest Services Committee, including hotel, airport, transportation and logistics for NFL VIP’s and other Guests as needed; concierge and operational plan for airport arrival and departure, hotel, and auxiliary activities for Team Owners as needed.
  9. Maintain Master event schedule.
  10. Job Duration: June, 2010 - February, 2012
Duties:
  1. Provide direction and work cooperatively with Host Committee Volunteer Leadership on specifically assigned committees through administrative support, facilitation of meetings, budget management, timeline management and integration of similar planning areas across all other committees.
  2. Train and direct large volunteer groups towards completion of various tasks and assignments.
  3. Develop financial projections, work within budget parameters, adhere to financial processes and procedures and work with committee members to solidify budgets for specific areas.
  4. Manage and supervise assigned paid and volunteer staff and interns, including task creation and completion and providing direction and guidance; operate according to Host Committee Hiring Policy Statement.
  5. Manage multiple projects simultaneously to meet specific timelines and deadlines, within budget.
  6. Develop and facilitate community partnerships.
  7. Make public presentations and public speeches to large groups as requested.
  8. Engage and work with the Indianapolis area business and civic community to help meet goals of the Host Committee and assigned areas.
Qualifications:
Extensive experience and a history of success in the following areas:
  1. Volunteer management: demonstrated experience in training and directing large volunteer groups to meet specific goals while maintaining positive volunteer relationships.
  2. Committee management: demonstrated success in directing and facilitating a committee process to meet specific goals.
  3. Financial management: experience in developing realistic and supportable projections and successfully working with a defined budget.
  4. Staff management: experience in managing and supervising both staff and interns; demonstrated ability to meet short-term goals with minimal turnover.
  5. Project management: demonstrated ability in successfully meeting project timelines and deadlines while managing multiple and simultaneous priorities.
  6. Community partnerships: experience in developing and facilitating community partnerships in achieving specific goals.
  7. Public speaking and presentations to large groups.
  8. Demonstrated knowledge of the Indianapolis area business and civic community.
  9. Bachelors Degree with minimum 8 years professional experience in leading and managing groups.

Positive Strengths for Consideration:
  1. Experience operating in an organization that has “hosted” events vs. being the event's rightsholder.
  2. Previous not-for-profit experience.
  3. Previous event volunteer experience.
  4. Strong current relationships in the Indianapolis community.
  5. Previous large-scale event planning experience.
  6. Previous experience working with a governing Board of Directors.

  12. Experience in handling sensitive information in a confidential manner.
  13. Ability and desire to be flexible as projects and plans change.
  14. Willingness and ability to work a demanding schedule, which may include nights, weekends and holidays.
  15. High competency in Microsoft Word, Excel, PowerPoint (staffing plan allows very limited administrative support available to assist in workload).
  16. High competency in Scheduling and Microsoft Outlook meeting planning.
