Description:Plan and manage 2012 Super Bowl office administration, including:
  1. Ensure all equipment is operational at all time, working as necessary with expert staff and outside vendors, including the telecommunications systems and all computers (hardware and software).
  2. Ensure all those contacting the Super Bowl officer, whether by phone or in person, receive a positive and welcoming experience:
    • Select volunteers with exceptional customer service skills.
    • Train volunteers to provide an exceptional customer service experience.
  1. Job Duration: June 2010 - February 2012
Duties:
  1. Provide direction and work cooperatively with Host Committee Volunteer Leadership on specifically assigned committees through administrative support, facilitation of meetings, budget management, timeline management and integration of similar planning areas across all other committees
  2. Manage staff and interns towards successfully meeting all timelines and deadlines; operate according to Host Committee Hiring Policy Statement.
Qualifications:
Experience and a history of success in the following areas:
  1. Database and listserv management: Ability to create, update and manage various databases including key contacts, volunteers, corporate and business community members, sponsors and media. Responsible for high volume entry and maintenance of accurate data. Will work with staff to determine data needs and suggest best practices for this data management. Will proficiently generate regular and ad hoc reports using databases.
  2. Volunteer management: demonstrated experience in training and directing volunteer groups to meet specific goals while maintaining positive volunteer relationships.
  3. Intern management: experience with recording and tracking all applicants via database; facilitating prompt communication to applicants; and ensuring interns have the tools necessary to assist staff with projects.
  4. Committee or volunteer group management: demonstrated success in directing and facilitating a committee or group process to meet specific goals.
  5. Financial management: experience in developing realistic and supportable projections and successfully working with a defined budget.
  6. Staff management: experience in managing and supervising both staff and interns; demonstrated ability to meet short-term goals with minimal turnover.
  7. Vendor procurement: Manage vendor relationships including the purchasing of all materials, property and services needed to keep the office functioning efficiently. Ensure that all purchases follow best business practices and are within budget. Research various vendors, ensuring a fair price for quality products. Ensure goods and services are delivered as contracted.
  8. Project management: demonstrated ability in successfully meeting project timelines and deadlines while managing multiple and simultaneous projects.
  9. Business/organizational partnerships: experience in developing and facilitating business and organizational partnerships in achieving specific goals.
  10. Public speaking and presentations to both large and small groups.
  11. Demonstrated knowledge of the Indianapolis area business and civic community.
  12. Bachelors Degree with minimum 5 years professional experience in leading and managing groups and individuals towards goal accomplishment.

  13. Ability and desire to be flexible as projects and plans change.
  14. Willingness and ability to work a demanding schedule, which may include nights, weekends and holidays.
  15. High competency in Microsoft Word, Excel, PowerPoint (staffing plan allows very limited administrative support available to assist in workload).
  16. High competency in Scheduling and Microsoft Outlook meeting planning.
