Description:
In cooperation with the NFL and Host Committee Volunteer Leadership, participate in planning and provide management and execution in the following areas and through committees as assigned, including Volunteers Committee; Guest Service Centers Committee; Guest Hotel Blocks Committee; Airport Services Committee; Downtown Business Connections Committee; Weather Watch Team; Regional Connections Committee; Indy Area Satellite Campuses; Hospitality Industry Services Committee; Local Attractions Committee::
  1. Plan and manage a comprehensive regional Guest Welcome Program for more than 150,000 visitors to Indianapolis during the 14-day Super Bowl period. This plan will include action steps to:
    • Assign and Train 10,000 Volunteers;
    • Stage 100 Guest Service Centers;
    • Prepare public and private Airport Authorities for 450 private aircraft and 150,000 passengers to arrive and depart in Indianapolis during the 14-day Super Bowl period;
    • Through a Weather Watch Team, prepare community for any weather-related inconveniences by establishing protocol, resources and manpower necessary to make Indianapolis “weather neutral” during the 14-day Super Bowl period;
    • Establish marketing plans and opportunities to involve local attractions in Super Bowl specific programming and exhibits during the 14-day Super Bowl period.
  1. Plan and manage a comprehensive regional Guest Welcome Program and resident-friendly programs in Indianapolis during the 14-day Super Bowl period. This plan will include:
    • Regional Connections for outlying Indiana communities to become involved in the Super Bowl experience;
    • Satellite Hub areas around Indianapolis to assist residents and guests with transportation and public information.
    • Job Duration: January, 2011 - February 2012
Duties:
  1. Provide direction and work cooperatively with Host Committee Volunteer Leadership on specifically assigned committees through administrative support, facilitation of meetings, budget management, timeline management and integration of similar planning areas across all other committees
  2. Manage staff and interns towards successfully meeting all timelines and deadlines; operate according to Host Committee Hiring Policy Statement.
Qualifications:
Experience and a history of success in the following areas:
  1. Volunteer management: demonstrated experience in training and directing volunteer groups to meet specific goals while maintaining positive volunteer relationships.
  2. Committee or volunteer group management: demonstrated success in directing and facilitating a committee or group process to meet specific goals.
  3. Financial management: experience in developing realistic and supportable projections and successfully working with a defined budget.
  4. Staff management: experience in managing and supervising both staff and interns; demonstrated ability to meet short-term goals with minimal turnover.
  5. Project management: demonstrated ability in successfully meeting project timelines and deadlines while managing multiple and simultaneous projects.
  6. Business/organizational partnerships: experience in developing and facilitating business and organizational partnerships in achieving specific goals.
  7. Public speaking and presentations to both large and small groups.
  8. Demonstrated knowledge of the Indianapolis area business and civic community.
  9. Bachelors Degree with minimum 5 years professional experience in leading and managing groups and individuals towards goal accomplishment.

  4. Previous large-scale event planning experience.

  14. Willingness and ability to work a demanding schedule, which may include nights, weekends and holidays.
  15. High competency in Microsoft Word, Excel, PowerPoint (staffing plan allows very limited administrative support available to assist in workload).
  16. High competency in Scheduling and Microsoft Outlook meeting planning.
